🎯 Purpose

To provide a summary of Non-Visit Activity (NVA) types including reason for NVA, availability in PointCare, Worker Category, and examples.

  • Any NVA that indicates entry in PointCare can also be entered by a supervisor in the Back Office.
  • NVAs that specify Back Office can only be entered in the Back Office.
  • For any NVAs that include travel time between business stops, ensure the travel time to the destination is included within the NVA's total hourly time if applicable, the destination is entered, and Actual Miles is selected. (Travel time is not paid to the first stop of the day)
  • If required by NVA type, details should be specific. Clinical Supervisor will follow up with staff prior to approval if insufficient information is provided.

Aide Attempted Visit Hourly Back Office Entered by back office staff when aide communicates that visit was attempted but not made. Include travel to attempted visit and attempted visit time. Needs to be entered in real time to ensure travel time to the next visit is calculated correctly
Aide Hourly Pay Hourly Back Office Entered by back office staff to capture non-visit time reported by HHA/HMKR staff that requires pay. Include travel time if applicable. Meetings (IDT, Performance Corrections), Training, Office Support, Shadowing HHA or Nurse, Placement to Aide POC, Other Aide time
Attempted Visit Salaried, Per Visit, Contract PointCare Entered by clinician to capture visit attempted but not made. Should include travel to client's home and select Client's Home from Destination. Needs to be entered in real time. Generates pay for Per Visit staff
Calculated Mileage Adjustments Hourly Back Office Used to add or deduct mileage from a worker's day. Add back mileage removed due to commute adjustment, add payable mileage for client errands
Case Conference Salaried PointCare Entered by clinician when attending a structured case conference/meeting outside of a visit. Include travel and location if applicable. Case conference with family, facility SW and physician
Lab/Supply Drop Salaried PointCare Generates productivity points (0.5 pts). Include travel time to lab. Select Facility and appropriate lab for location. If lab not listed, contact office to add or use Coordination Note: REQUEST TO ADD A NEW FACILITY
Non-Admit Salaried, Per Visit Back Office Clinician must contact Clinical Supervisor prior to leaving client’s home. Supervisor enters Non-Admit in Back Office. Generates productivity points (0.5 pts)
Paid Time Off/Holiday Salaried Back Office Used to calculate productivity for PLT and holidays. Entered by supervisor. Value of points per day based on threshold and hours. Example: 40 hr/week, 30 pt threshold = 6 pts/day
Per Diem Hourly Pay Per Visit PointCare Entered by Per Visit staff to document non-visit activity directed by manager. Include travel time. IDT/Case Conference, Training, no-visit discharge, Lab Drop Off
Salaried Aide Attempted Visit Salaried Back Office Entered by back office for Salaried Aides when visit was attempted but not made. Include travel and attempted visit time. Needs to be entered in real time to ensure travel time to next visit
Salaried Meeting/Training Salaried PointCare Entered by salaried staff for mandatory meetings or trainings delegated by supervisor. IDT, Mandatory Education, Annual Training Modules
Salaried Aide Office Time Salaried Back Office and PointCare Entered by either back office or Salaried Aide to capture travel/mileage and office time. Needs to be entered in real time to ensure accurate travel/mileage
Unfilled SOC Availability Salaried Back Office Entered by Clinical Supervisor when clinician gives SOC availability but intake cannot fill the spot. Example: Clinician gives availability for 2 SOCs on 10/1, intake fills zero β†’ enter 2 NVAs to document large schedule gap
