O-6-210 Complete New Employee Onboarding Forms
🎯 Purpose
As part of the Onboarding process the employee must complete required forms, some of which can be completed electronically through Dayforce. The forms described in this process are the first forms the employee will complete on or prior to their first day of employment.
The Personal Information and Contact Details forms give the employee the opportunity to ensure that their employee record details are accurate by having the employee review these fields. The Tax and Banking Information forms assist with direct deposit and tax withholding setup for Payroll.
🔄 Process
Employee will log into Dayforce within a web browser under the Employee Role.

Use O-6-300 Dayforce Login Instructions via Web Browser or O-6-312 Dayforce Login Instructions via Mobile App, if needed.
Navigate to the menu by selecting the menu icon in the upper left.
In the dropdown menu, click Getting Started:
The Onboarding page will load. Under the “Your Onboarding Forms”, two main sections will populate: “Personal Information” and “Tax and Banking Information”.
- Select the Personal Information dropdown to expand the forms needing to be completed. The sections are:
- Name and Marital Status
- Address
- Contact Details
- Confidential Information
Emergency Contacts
- Complete each form individually.
- To begin a form, select Start.
- In each form, information will already have populated from the candidate’s profile, Pre-Hire Questionnaire, and New Hire Form.
- Review each section to ensure everything is accurate.
- Correct any information that is not accurate and inform your manager of the change.
After a form is completed and submitted, the form will be indicated as “Submitted”.
NOTE:
Within the Name and Marital Status section, “Marital Status” is optional; this can be left blank.
- Select the Tax and Banking dropdown to expand the forms in this section, selecting each form. These forms are:
- Federal W-4
- State W-4
Direct Deposit Information
- Complete each form individually.
- To begin a form, select Start.
- Some information (e.g. name and date) will automatically populate.
- The instructions in each W-4 can easily be accessed by scrolling down within each individual form. The employee fills out the form according to their determined selections.
- In the W-4’s, the employee signs the form by typing their name in the signature line.
- Select Submit after the form is complete.
Each completed form will indicate it has been submitted with a green checkmark.
EXAMPLE:
When all forms listed above been submitted, this completes the initial Onboarding forms in Dayforce. The “Personal Information” sections will route to the employee’s manager for approval, while the “Tax and Banking” information will route into payroll directly.
NOTE:
The I-9 is not completed within Dayforce. This form will need to be completed outside of Dayforce and sent to the Payroll Manager.
- Proceed with O-6-310 Consent to Receive Forms Electronically and remaining Onboarding steps required.
